Pastoral Services

As part of the student support services, the College aims to meet the emotional and welfare needs of every student through its pastoral counselling sessions. A select number of academic staff currently carry out this role and we are in the process of identifying the need for any further developments and improvements to our existing arrangements.

The aim of the College is to ensure that every student gets to meet with staff assigned to him/her for pastoral support at least once every term. Further or more frequent sessions may be added if the need arises. Students are at will to request for early counselling appointments (subjected to counsellor's consideration and evaluation based on the nature of the case).

  • A student counselling file is created for every student (full-time and part-time, alike) wherein, personal particulars and histories (medical and psychological, if any) are stated.
  • Students are allocated appointment dates by the academic co-ordinator wherein, the said student will see a school counsellor at an appointed date. Each session is about 15-30 minutes duration.
  • The counsellor will record the findings and state relevant details and events of the session on the counsellor's sheet. The counsellor's sheet will be kept in the said student's file and will be treated with strict confidence. Only authorised personnel, such as the principal (other than the counsellor), will hold the right to access a student counselling file.
  • Upon the completion of each session, the counsellor will inform the student if there would be a need for further session. Appointments will be hence given for such continued sessions by the academic coordinator.
  • Lecturers who face issues/ problems with students may fill in the Record of Attendance and state the complaint/ issue that need be addressed. The form will be handed in to the Academic Secretary who will then hand it in to the counsellor. The counsellor will study the form and call in the said student for a counselling session. Any findings will be reported on the counsellor's sheet and this will also be indicated on the Record of Attendance. The said forms and sheets will be kept in the student counselling file.
  • Students who face issues/ problems with lecturers or members of non-academic staff may fill in the Student Counselling Request Form and state the complaint/ issue that need be addressed. The form will be handed in to the academic coordinator who will then hand it in to the counsellor. The counsellor will study the form and call in the said student for a counselling session. Any findings will be reported on the counsellor's sheet and this will also be indicated on the Student Counselling Request Form. The said forms and sheets will be kept in the student counselling file. Only student requests pertaining to pastoral care and of emotional distress will be entertained.
  • It is the duty of the counsellor to report matters of emergency and serious issues to the Principal immediately and await further instructions from him/ her.
  • Matters that are of psychiatric/ medical nature will be referred to the principal wherein the counsellor will await instructions from him/ her for the next course of action.
  • Stansfield College shall not provide any psychiatric/ medical counselling. If a student is need of such medical intervention, he/ she will be advised to seek the right professional bodies for advice, immediately. Nevertheless, such incidents will be stated and kept in the student counselling file.
